Create a Microsoft account and setup Microsoft Authenticator

  1. Go to the official Microsoft page at https://account.microsoft.com/.

  2. Click "Create a Microsoft account".

  3. Enter your email address.

    • Please enter your company’s email address.

  4. Enter an arbitrary password (at least 8 alphanumeric characters) and click "Next". *We recommend that you write down your password.

  5. The Microsoft Account Team will send you a 4-digit security code to your email.

  6. Enter the security code.

  7. Enter the characters that appear in the image. This completes the creation of a Microsoft account.

  8. Select "Security" on your microsoft account page and click Two-step verification.

  9. Select Microsoft Authenticator as the verification method.

  10. Download the Microsoft Authenticator app from the App Store or Google Play. Download Microsoft Authenticator

  11. Open the app and tap "Add account".

  12. Select "Work or school account".

  13. Use your phone’s camera to scan the QR code displayed on your computer screen.

In order to start using the service, we will ask you to contact us with your account information for the vessel and the user.

  1. Vessel Name: ABC Maru (Ship building / SNo. / IMO No)

  2. Account Information (E-mail Address): sample@abc.com

    • Your account must be registered with a Microsoft account.

How to start using infoceanus assist

After your account is registered, you will receive an email from Microsoft as in below: Email received

How to use Microsoft Authenticator for infoceanus assist

When you log in to infoceanus assist, you will be asked to verify your identity using the Microsoft Authenticator app.

  1. Log in to the Assist app login

  2. Sign in to you microsoft account Microsoft login

  3. Set up your Microsoft Authenticator app

    • If you have not set up the Microsoft Authenticator app, you will be prompted to do so. Authenticator Setup

  4. Use your phone’s camera to scan the QR code displayed on your computer screen. QR code

  6. On your mobile device, open Authenticator, or tap the New sign-in request notification.

    • Note: If you’re a work or school account user, you may need to unlock Authenticator before confirming sign-in.

Offline PIN Code Login (Vessel Crew)

For vessel crew operating in offline environments or situations where Microsoft Authenticator is not available, an alternative PIN code-based login method is provided.

  1. Enter your assigned PIN code (provided by your vessel administrator or support team).

    • Your PIN code is typically 4-6 digits.

    • Keep your PIN code confidential and do not share it with others.

  2. Tap "Login" to proceed.

  3. Once logged in successfully, you will be granted access to infoceanus assist with limited offline capabilities until the next sync with the server. PIN Code Login

Dashboard / Home

The dashboard is the main entry point after sign-in. It displays the current date and time, a hero section, and quick navigation boxes for the most common tasks:

What you can do:

  1. Troubleshoot an issue

  2. Create a new report

  3. Add a new equipment item

  4. Submit a new customer support claim

The dashboard also shows recent activity from updated reports, equipment records, troubleshooting items, and support claims. For users with AI assistant access, the home page includes the Kikuho AI assistant preview area with starter prompts and links into the chat experience.

How to use it:

  1. Click a navigation card to go directly to reports, equipment entry, troubleshooting, or support.

  2. Review the recent activity feed to see changes and updates across your account.

  3. Use starter prompts in the assistant preview if you want to begin an AI chat from the home page.

Dashboard

Reports

Reports is the application area for tracking and managing trouble reports.

What you can do:

  1. Browse the list of reports in table form

  2. Search by report title, report number, equipment type, or other keywords

  3. Create a new trouble report using the New Trouble Report button

  4. Click a report row to view details and edit the report

  5. Mark reports as read using built-in actions

How to use it:

  1. Type a query in the search bar and press Enter or click the search icon to narrow the report list.

  2. Use the New Trouble Report button to open the report creation form.

  3. Open any report from the table to review status, equipment, location, and report details.

Report

Equipment Management

The Equipment section manages vessel equipment listings, metadata, and status.

What you can do:

  1. View equipment by vessel, manufacturer, category, and product

  2. Search equipment by name

  3. Filter equipment by vessel, category, or manufacturer

  4. Sort the list by equipment name, category, manufacturer, or vessel

  5. Click an equipment row to open the detail page and edit equipment data

  6. Add new equipment through the wizard flow starting under Create a new equipment on the dashboard or via the equipment menu

How to use it:

  1. Use the search field to find an exact equipment name or partial match.

  2. Apply filters to narrow by vessel, category, or manufacturer.

  3. Click table headers to sort ascending or descending.

  4. When you need to add equipment, follow the multi-step new equipment flow: select manufacturer, assign vessel, and enter detailed equipment information.

Troubleshooting

The Troubleshooting page is the knowledge base for issue resolution.

What you can do:

  1. Search troubleshooting articles by keyword

  2. Browse troubleshooting entries and suggestions

  3. Open a troubleshooting record to view issue details, related equipment, and resolution notes

  4. Start a new troubleshooting item from the dashboard quick link

How to use it:

  1. Enter a problem keyword in the troubleshooting search box.

  2. Use the search results to locate a relevant issue or procedure.

  3. Click a troubleshooting record to open the full details page and review notes, links, and related equipment.

Customer Support

The Customer Support area helps you manage support requests, calls, and open claims.

What you can do:

  1. Search support claims and request history

  2. View upcoming scheduled calls

  3. See open claim overviews and current claim status

  4. Submit a new customer support request

  5. Use the contact form or contact card to reach support directly

How to use it:

  1. Use the support search bar to locate claims by title, equipment, or request number.

  2. Review the Upcoming Calls section for scheduled meetings and support sessions.

  3. Open any claim listed in the Open Claims section to inspect its current status and details.

  4. Click through to create a new support request when you need help from customer support.

Kikuho AI

The Kikuho AI digital assistant provides an AI-driven chat interface for support and guidance.

What you can do:

  1. Start a new AI chat session

  2. Use starter prompts to launch common assistant scenarios

  3. Browse or hide the chat list panel

  4. Review chat history and continue conversations

  5. Rename or delete chats from the assistant list

How to use it:

  1. Open the Digital Assistant section from the sidebar.

  2. Select a starter prompt to prefill the chat input with a helpful question.

  3. Type your own message in the assistant input box and send it to begin the chat.

  4. Switch between saved chat sessions using the chat list panel.

Kikuho AI

The Search page provides a global search experience across the app.

What you can do:

  1. Search all content with a single query

  2. Filter results by tab: All, Reports, Support Claims, Equipment, Troubleshooting, or Attachments

  3. Use the filter panel to refine results by metadata and aggregation buckets

  4. Use pagination to browse large result sets

How to use it:

  1. Enter a search term in the main search bar.

    • Choose a result tab to restrict the search to the content type you need.

    • Expand the filter panel to apply additional constraints to the result set.

    • Use pagination controls to move through result pages.

Search

Settings

The Settings area lets you customize UI preferences, language, timezone, and notification rules.

What you can do:

  1. Toggle dark mode and light mode

  2. Change application language between English and Japanese

  3. Set your preferred timezone and time abbreviation

  4. For supervisors, manage auto-report notification settings and create new scheduled notification rules

How to use it:

  1. Open Settings from the sidebar.

  2. Use User Settings to adjust visual preferences, language, and timezone.

  3. If your role includes it, open Notification Settings to review and create auto-report rules.

  4. Supervisor users can create new auto-report templates and edit existing notification settings.

Supervisor Mode

Users with the Supervisor role are redirected to a supervisor-specific dashboard and reports overview.

What you can do:

  1. Access a supervisor home page with a higher-level overview

  2. Review reports overview and aggregated team metrics

  3. Manage vessel crew users and admin-level settings in the app

How to use it:

  1. Sign in with a supervisor account.

  2. The app will route you to /dashboard/supervisor/home.

  3. Use the supervisor reports pages to filter and search across broader report data.
